Special Event Coordinator (SEC)

General Overview

If you have a passion for sports and your interests lie in special event management and marketing, this is a great part-time opportunity for you. The Calgary Sport & Social Club (CSSC) is looking for a take charge candidate with the ability to manage administrative tasks and event logistics in support of two Marketing Managers in a busy special events environment. The SEC will assist with coordination and execution of up to 30 events per year with little supervision. They must provide outstanding customer service, be an enthusiastic professional, have the ability to problem-solve, be willing to work occasional evenings and many weekends, and be able to build relationships with internal and external customers.

Positions Available: 1 permanent part-time position

Start Date: Immediately

Hours:
The SEC can expect to work on average between 24-32 hours/week. Hours will be a combination of weekday work (in the office) and special event weekend work (on-site). There will also be occasional weeknight work as well.



Tournaments are normally on Saturdays, starting at ~8:00am and concluding at ~5:30pm. Most tournaments will require the SEC to set-up prior to the event, be available throughout the day to answer questions and keep the event running smooth, complete the standings, and to take-down and clean-up the facility. There are also After-Parties for the majority of the indoor tournaments that the SEC is expected to attend, where they will oversee the program agenda. There are also out of town tournaments, weeknight Season End Parties and Players Meetings, and Friday-Sunday Slo-Pitch Tournaments.

Rate of Pay: $16.50/hour + Benefits*

Responsibilities

Special Event Organizer

Tournament

- Assist in tournament preparation in the office leading up to each tournament (registrations, sending pre-tournament information, confirming attendance, preparing documents and equipment, etc.)


- Transport material to specific tournament location

- Make sure tournament gets underway and runs smooth throughout the day (set-up facility, answer questions, complete standings, record winners, take-down, etc.)


- Take photos at the event for social media and the CSSC website


- Complete tournament wrap-up items after the event (update website with photos/winners, create and send survey, pay part-time staff, assist with event reviews, etc.)




After-Party


- Transport of party materials to the After-Party

- Set-up/take down of bar

- Hand out ballots for door prizes and socialize with party-goers

- Take equipment returns from players


- Answer general queries


- Assist with party events - assistant to the emcee, distribute championship shirts


- Take photos at the event for social media and the CSSC website


Season End Party
- Assist in party preparation in the office leading up to each event (managing champ shirt orders, prepping all champ shirts, planning the party agenda, etc.)
- Transport of party materials to the event
- Set-up/take down of bar
- Assist with party events – games and league championship shirt distributions
- Take photos at the event for social media and the CSSC website

Marketing Assistant
- Assist Marketing Managers with media tactics (development and distribution of press releases, create and post online ads, book advertising spots, etc.)

- Manage Trade Show program (bookings, organizing and training staff, working at events, set-up and take-down, etc.)

Experience and Qualifications

Experience:
- Previous customer service experience

- High level of computer competence with Microsoft Office suite (Outlook, Word, Excel)

- Post-secondary education

- Past CSSC experience and/or sports background is an asset
