1. REGISTRATION INFO

The Calgary Sport & Social Club is an adult league so all players MUST be at least 18 years old.

REGISTRATION TYPES:
Team: you build your own roster and decide how many players to have on your team.
Small Group: you have between 5 and 8 people (not a full team). Register and play together (at a reduced rate) and we’ll fill out the roster.
Individual/Friends: 1-4 people can register together and we'll fill out the roster.

PAYMENTS:
All Teams, Small Groups and Individuals/Friends MUST PAY ONLINE in order to register. If you cannot pay online, registrations must be submitted and paid IN PERSON at the Calgary Sport & Social Club office, located at Suite 202 – 4702, 1st Street SW. Office hours are:

Monday - Thursday: 8:30am - 6:00pm
Friday: 8:30am - 5:00pm
Saturday, Sunday and Holidays: CLOSED

Cancellations: In order to receive a full refund, cancellations must be submitted  2 business days prior to the registration deadline applicable to that season. After this date, no player or team will be eligible for a full or partial refund or credit. 

Sub Registration Policy: Sub registration opens, for each season, the day after regular registration closes and will remain open for the duration of that season.

Subs can register and play for FREE but there is no guarantee they will be contacted to play. By registering as a sub, you are agreeing to have your contact information given out to any team/player who contacts the SSC in need of a sub(s).

As a sub, you are required to complete an online waiver prior to playing and must be familiar with the rules applicable to your sport. Subs are expected to abide by the same SSC rules and policies as all other participants and risk the same consequences if they fail to do so. Subs are expected not to play above the level of the person they are replacing or the general playing level of that division.

2. WAIVERS

3. SINGLES AND SMALL GROUPS

Registered as a single or small group? Please see below for all of the information that you will need.

INDIVIDUAL, FRIEND, SMALL GROUP PLAYER INFORMATION

How will I get put on a team? Tthe CSSC will place you on a team with other individuals, friends or small group registrants for the same sport/night/division. If there are not enough of those types of registrations we will ask the currently registered teams if they need more players. Occasionally, a team will request additional players. Lastly, if we are not able to accommodate you in your first choice, we will try your back-up option.

When do I find out if I am on a team? The final deadline for league registrations is the Friday before the leagues begin. The CSSC will start putting teams together at that time. Once the teams are finalized, you will be emailed a roster no later than 48 hours before your first game that will have the contact information for your teammates.

What happens if you are unable to place me on team? You will be issued a full refund and be placed on the sub-list for the season.

What happens at the first game?

The schedules will be posted to the website 48 hours prior to your first game. The CSSC provides basic playing equipment so you will just need to bring yourself and be dressed appropriately for playing your sport and weather. Some sports require each player to bring a light and dark colored shirt to each game, the rules for your sport will let you know if that is applicable for you. Since it will be difficult to tell who your teammates are, you will just need to ask any players as they arrive if they are on your team. If you have communicated with each other before the game, it will be easier to find each other at your playing field!

PLEASE NOTE: Outdoor Soccer and Slo-Pitch: The CSSC provides equipment (balls, field markers/bases) directly to the teams. For singles' teams it is essential that one person from the team pick up the equipment/supply the deposit. There will be a scheduled pick-up time prior to the start of the season. Teams must decide amongst themselves who is going to be picking up the equipment. ALL SLO-PITCH TEAMS ARE REQUIRED TO SUPPLY THEIR OWN BATS AND GLOVES.

Rosters:

1. The CSSC will form team rosters at the office based on the number and sex (F/M) of the registrants. For most sports, the CSSC's best-case scenario is that each team will have two full lines + potentially 1-2 additional players. The only exception is volleyball where the CSSC forms teams as follows: 4's teams will have 4-6 players. 6's teams will have 6-9 players. The reason for the extra players in all leagues is to prevent defaults. Singles' teams make up 85% of defaults each season. If you feel your team does not have enough players on the roster please let us know and we will attempt to bolster your roster.

2. SMALL GROUP REGISTRANTS: The CSSC determines the final number of players on each roster. The CSSC is unable, in most cases, to accommodate specific requests. If you want to control the number of players added to your group, you will want to do your own recruiting and register a full team.

3. CAPTAINS: When you meet with your team, please choose one player to be the captain. Captains of soccer and slo-pitch teams should report scores to the CSSC website by noon the next day. Other captains should report scoresto the Event Coordinator (EC) or Games Coordinator (GC) at the field/gym. The only other responsibility of the captain is to help organize subs if players are going to miss a game, subs can be arranged by email info@calgarysportsclub.com.

Skill Levels:

You will register based on your perceived skill level. If you have not played in our leagues before, please be conservative regarding your own skill. It is better to be a more skilled player in a less skilled league than to be in over your head in a league where you are not skilled enough to compete.

Singles' teams will often see a wide skill level range within them. The important thing is to remember why you are there TO HAVE FUN!!!!!!!

4. TEAM CAPTAIN RESPONSIBILITIES

Prior to the start of the season, TEAM CAPTAIN's must review the TEAM CAPTAIN RESPONSIBILITIES list. As a team captain you have certain responsibilities on a weekly basis, please see below for more information.

Reporting Scores

VOLLEYBALL (Grass, Beach, Indoor), BADMINTON, OUTDOOR FLAG FOOTBALL, ULTIMATE: You do not have to report the scores directly to the CSSC, this is the duty of the EC; however, please make sure you record your scores and sportsmanship rating on the score sheet provided at the game so that the EC has something to report.

FLOOR HOCKEY, BASKETBALL, DODGEBALL, INDOOR/TURF SOCCER, ARENA FLAG FOOTBALL: You do not have to report the scores directly to the CSSC, this is the duty of the GC; however, please make sure that the score is accurate and that you report your sportsmanship rating to the GC.

OUTDOOR SOCCER & SLO-PITCH:  It is the captain’s responsibility (or Captain designate on singles teams)  to report the scores ONLINE by 3pm the day after your game. In order to have the standings posted within 48 hours we need to receive your scores in a timely manner. If you do not report your score, the sportsmanship rating for your team will be automatically changed to “0” and the rating for your opponent will be put as “+1”.

How to report scores:

1.      Confirm the score with the other captain after the game. You MUST do this so that we receive the same score from each team.
2.      Go to the scores tab on your league page

3.      Choose “Scores”
4.      Enter your username and password as per below:
a.      Username – this will be emailed to you prior to the season.
b.      Password – this will be emailed to you prior to the season.
5.      Once you enter this it will take you to the page where you enter the scores. PLEASE make sure that you input all of the correct information (date of game (not the date you are entering the scores), opponent, score etc)
6.      Hit Submit
7.      Make sure that you receive a confirmation saying that your scores were submitted.

Permits

The CSSC has permits for all of the Public schools that we use.  Generally we are able to access the gym 15 minutes before our permit time.  However, if there is another user group in the gym when you arrive, please do not enter the gym or interrupt their play.  The EC or GC for your sport will have the permit for usage and will take care of getting into the gym.

If you ever run into a situation where there is another group on the field, make sure that you are on the right field (match the field number/name at the field to the one on the schedule for your game) and then show the permit number to the other group. There will never be 2 teams scheduled for the same time at the same field; if you have a permit number, the other team can not also have the same one.  We have booked and paid for every field that we send you to, so you must not back down when confronted by another group, all of our permits run from 6 PM to 9 PM

5. ROSTERS AND SUBS
  • When registering a full team, there is no maximum limit to the number of players that you can have on the roster. After registering a full team, captains are not required to inform the CSSC of additional players.
  • Please see the rules section for the sport that you are registering for to view specific roster requirements.
  • A sub-list can be requested from the office. If you recruit a sub, it is your responsibility to ensure that they are ready to play (know the rules, will play at the proper level and have submitted a waiver).
  • A team may bring in subs that are not listed on the roster. They must fill out a waiver prior to playing.
  • In the spirit of sportsmanship, captains are expected to replace players with a person of a similar skill level. Bringing in “ringers” for regular season and particularly playoff games is discouraged.
  • If you are playing in a league where there are other SSC teams playing before you, your team may borrow players under this condition: to increase your team to a minimum full line-up. The SSC considers it to be an unfair advantage if a team borrows players to bolster their line-up.
  • Teams may bring in subs for playoff games but these players must have played at least one game during the regular season with the team.
  • Individual team rosters will be e-mailed out 48 hours prior to game one.
    For Playoffs:
  • To help avoid defaults in the playoffs, teams, excluding the top 4 (teams ranking 1-4 in the standings after regular season games), are welcome to bring in subs who have not played at least one regular season game with the team. However, these subs are expected to play at the same skill level of the player that they are replacing. The top 4 teams can only bring in subs that have played at least one game in the regular season.
  • Sub Registration Policy: Sub registration opens, for each season, the day after regular registration closes and will remain open for the duration of that season.

6. DEFAULTS

All teams, registered with the SSC pay to play. When a team defaults, their opponents who have shown up ready to play, also miss that game. These teams must be compensated for the loss of that game. The SSC does not profit from the collection of default fees.

The default policy is in place to deter teams from not showing up to their games – it is unfair and unsportsmanlike to the other team.

At game time, any teams not meeting the minimum player requirements will default the game. Only the SSC office can cancel games. Teams contacting the office before their game regarding not showing up are still considered to have defaulted their game.

Each time a team defaults, they are subject to the $50 default fee.

Following a first time default, the team will be permitted to play in their next scheduled league game. However, if the default fee has not been paid within 7 days of the default occurring, the SSC will alter the score of that game to reflect a default loss for that team; including “zero” for sportsmanship. The accurate results of this game will still be reflected for the opponents. For example, if the opponents lose this game, two losses will be reflected in the standings.* This process will apply each week until the default fee is paid. Following two consecutive weeks of having an unpaid default, the SSC reserves the right to remove the team from the schedule. If a team defaults on a second night, their status in the league will be under review.  

*Please note that the score WILL NOT be reverted to the original once the fee has been paid.

Teams that are defaulted against will be refunded the entire $50 default fee. The refund will be processed onto the card used to register the team. The exception being sports where you play two matches per night, in which case, each team defaulted against will be refunded $25. These sports include:  Grass, Beach and Indoor Volleyball, Badminton and Ultimate Frisbee.
 
If both captains agree to waive the minimum player requirements, they may do so but it must be decided before the game starts. If it is agreed that the games will count, then the results will count! In this case, the default fee would also be waived.

If you are having difficulty fielding a team, please contact the SSC for a list of subs; we will do our best to help you out!

For Playoffs:

To help avoid defaults in the playoffs, teams, excluding the top 4 (teams ranking 1-4 in the standings after regular season games), are welcome to bring in subs who have not played at least one regular season game with the team. However, these subs are expected to play at the same skill level of the player that they are replacing. The top 4 teams can only bring in subs that have played at least one game in the regular season.

7. PLAYER MEETINGS

All team captains, designated group leaders, or singles MUST attend a Players meeting. The reason for this is to make sure that all players are informed about CSSC Rules, benefits of the club, and to clarify any questions and concerns that players may have.

Any team that does not attend the Players Meeting will automatically recieve three '-1's' for sportsmanship in their first game (regardless of what the other team or the GC rated them).

8. RULES

All players must be know the rules before playing - NO EXCEPTIONS! If you are a new team or new player to the league this is VERY important as our rules are different from other leagues.  The CSSC is a self officiated league; you are responsible for calling your own infractions.

1. SPORTSMANSHIP

The CSSC expects all players who choose to play with us to exhibit 'CSSC Spirit'. 'Spirit of the Game' means coming out each week with a 'fun first, winning second' attitude. The CSSC believes that encouraging good sporting behaviour is why players join and remain in our leagues. There is no tolerance for players who do not respect CSSC sportsmanship policy. 2. WEATHER POLICY

Overview: Living in Alberta means that we will have some unpleasant evenings and there will be some nights when we have to play sports even though we might prefer not to. Dress warmly and get out there and have some fun!

The CSSC hosts hundreds of teams each season and this requires a lot of playing fields. Re-scheduling games is extremely difficult (we can’t always book enough fields to replay all the games), so we strongly prefer to see the games get played whenever possible.

The weather conditions can vary significantly from one field to another or from one area of the city to another. This often contributes to our reluctance to do a city-wide cancellation – if we know that some areas of the city are playable, we will ask all teams to report to their fields to decide for themselves. If half or more of the teams can play, that makes rescheduling the other games a lot easier.

In very extreme circumstances the CSSC will cancel (and reschedule) games. If this happens, the games will be cancelled prior to 5 PM on game day. The cancellation notice will be posted on the website and emailed to all leagues that are affected. If we have not cancelled the games, then that means we have received no indication from the City, the facility, or our field staff that our fields are unplayable. If the CSSC has not cancelled the games then the ‘Rain or Shine’ Policy is in effect.

* Note: the CSSC is not open on weekends so all Saturday and Sunday league games are subject to the rain or shine policy!

3. DIVISIONS

In all sports, the CSSC reserves the right to move teams to a division better suited to their level of play, regardless of whether the team has registered early. In sports such as Volleyball, Flag Football and Ultimate Frisbee the CSSC will likely have combo divisions that will start with a 2 or 3 week seeding period to help place teams into the proper division for their skill levels.

4. SCHEDULES & STANDINGS

Schedules will be posted online no later than 48 hours prior to the first games scheduled. If the schedules are not posted you may assume the schedule has not been completed. Please do not contact the CSSC regarding your schedule until after it has been posted.

Standings will be updated within 48 hours of completion of your game.

5. ROLES OF GCs AND ECs

Games Coordinators

GC’s are CSSC employees. Their main role is to set-up the facility so it is ready for game time, keep the score and time, and report the results to the CSSC. They are also there to encourage sportsmanlike play and to help to keep the games running smoothly.  Players must understand the role of the GC and know what is expected as a player in the league.  The following is a list of the roles that the GC will perform during your game:

Pre-Game Intros - the GC will call in both captains for introductions, confirm which colour each team is wearing, define any particular court/gym rules, and provide league updates and other special notes.

Managing the Time - the GC will manage the game time on either a clock or their watch. They will ensure that the game starts at the scheduled start time and manage the time for the remainder of the game.

Keeping Score - the GC will keep track of the score.

Intermission - the GC will act as a 'mediator' for the captains during the intermission, they will also provide feedback to both teams at this time.

Officiate – the GC will call fouls or penalties when needed.  The GC is NOT a referee, CSSC leagues are all self-officiated.  However the GC will assist in keeping the game under control by calling infractions that are not called by the teams and by providing constructive and positive feedback to the players throughout the game.

The GC will eject players who are a threat to the fun or safety of their opponents - the GC is obligated by the CSSC to step in and assign a game misconduct if warranted by a player's actions. A GC cannot allow a player to continue who is jeopardizing the safety or fun of other players. See the rules for more details.

In some cases a GC may not be present to monitor the game. In these cases, the team captains are responsible for keeping time, keeping score and making sure that their own players are playing within the guidelines of the CSSC. The captains need to make sure that the equipment is returned to the correct location and report the score of the game and the sportsmanship ratings to the CSSC office the following day by noon. Event Coordinators:

At each volleyball and badminton gym, there will be a CSSC player called an Event Coordinator (EC). This person is a registered player in the league. Their main purpose is to bring playing equipment and a score sheet to the games, update players with pre-game announcements and report the game scores to the CSSC. 6. EQUIPMENT

Outdoor Sports: For Flag Football, Ultimate, Grass Volleyball and Beach Volleyball an Event Coordinator (EC) will bring the equipment required for each game (balls, field markers, flags,..etc.) Players are only responsible for bringing the proper attire (dark and white t-shirt) and footwear.

For Soccer and Slo-Pitch each team must pick up the required equipment from the CSSC Office. A deposit is required to pick up the equipment.
For Soccer, each team will pick up a soccer ball and field markers, the deposit is $20.
For Recreational Slo-Pitch, each team will get 3 bases, safety base, home plate and field markers, the deposit is $40. Recreational Plus and Experienced level teams will get a strike mat besides the above listed equipment and the deposit will be $80.

Indoor Sports: For Indoor Volleyball and Badminton an Event Coordinator (EC) will bring the equipment required for each game (balls, nets, score sheets.) Players are only responsible for bringing the proper attire (dark and white t-shirt) and footwear.

The CSSC Dodgeball, Floor Hockey, Indoor Soccer and Basketball games are monitored by Games Coordinators (GC) that will bring or set-up all of the required equipment (balls, sticks, nets etc…).

7. FACILITY INFORMATION

FACILITY COMPLAINT POLICY

The SSC rents facilities from the City or private establishments. The facility staff or the City may revoke our rental privileges at any time. Any player or team who causes The Club to receive a complaint may face a $100.00 fine and may be suspended or ejected from the league. To help players better understand the levels of facility complaints, we have outlined them below.

Minor Complaint
A minor complaint is one that is issued by any SSC staff, facility staff, neighbourhood resident, opposing team or City employee that will not result in major repercussions to the SSC. A warning letter will be sent to the team indicating that if we receive any future complaints, this would be considered to be a major or severe complaint. The team may also face a $100.00 fine.

Major Complaint
A major complaint is one that is issued by any SSC staff, facility staff, neighbourhood resident, opposing team or City employee that will likely result in major repercussions to the SSC, or if it is a team’s/player’s second offense. The team will be contacted by the SSC, they will likely be fined $100.00 which must be paid before their next game and/or face a suspension.

Severe Complaint
A severe complaint is one that is issued by any SSC staff, facility staff, neighbourhood resident, opposing team or City employee that results in major repercussions to the SSC, or if it is a team’s/player’s third offense. The team will be contacted by the SSC, they will be fined $100.00 and will be ejected from the league without a refund.

GYMS:

About: The gyms are rented from the City of Calgary, Parks and Recreation or are Private Facilities. Weekday start times (Monday to Friday) may range from 6:15 PM to 10:00 PM. Sunday start times will range from 9:00 AM to 10:00 PM. During the week you can expect most games to be scheduled for later in the evening due early slots being reserved for youth activities. Please see more below on CSSC expectations regarding school and/or private facility use.

Permits: The CSSC has booked and paid for each facility that is scheduled for a game. Please pay close attention to the permit times on the schedule as we cannot be in the gym prior to or after the rental agreement time. Expect the schools to be LOCKED until 15 minutes prior to the start of your scheduled game time. If you arrive early and the doors are locked, please wait outside until the caretaker comes to unlock the door or until the Games Coordinator (GC) or Event Coordinator (EC) arrives.

Treat The Facilities Right: All players MUST respect the facilities, building property and the caretakers. Gym use is a privilege that should not be taken lightly. Please be kind to the caretakers in all circumstances and please treat the school as you would want someone else to treat your home. Be patient! If you have any comments about your school, please address them with the CSSC staff the following day by sending an email to info@calgarysportsclub.com.

THE CLUB RENTS FACILITIES WHICH MEANS THE FACILITY STAFF MAY REVOKE OUR RENTAL PRIVILEDGES AT ANY TIME. Any player or team who causes The Club to get a complaint may, and likely will be, removed from the league immediately


FIELDS:

Attention Soccer and Slo-Pitch Players:
Please download and print the outdoor permits and bring them to your games. Present them if there are any field conflicts. The permits can be found on your "Schedules" page
.

About: The fields are rented from the City of Calgary, Parks and Recreation and some private organizations. These organizations determine which fields we will being using. The CSSC is committed to upgrading our fields if and when they become available! If you notice any problems at your field (gopher holes, sprinkler heads, etc) please notify your EC and/or contact the CSSC directly at info@calgarysportsclub.com . Any potential hazards should be marked with something (shirt/hat/towel) so players can avoid that area during game time.

Finding the right field: Each city field has a unique field #; this number on the goalpost needs to match the number provided on your schedule. Private facilities will have their fields determined by location on their property (e.g. “south field”).

Permits: The CSSC has booked and paid for every field that is scheduled for a game. The permit time each night is 6 PM to 9 PM. The EC’s (CSSC reps/players) or team captains will have copies of the permit to prove that the CSSC has the field rented, so please wait for your EC or team captain if there are non-CSSC players on a field. The only time you may arrive at a field that is already in use is if you are playing in a later game with CSSC teams playing early.

Treat The Facilities Right: As these are rented fields and facilities there are certain rules that the CSSC enforces:

1. Please don’t ‘mark’ your fields: Do not urinate on trees/bushes or between parked cars. Port-a-potties are not provided by the City for city fields so plan ahead! It’s illegal to pee on public property.

2. Property Damage: Players are responsible for property damage.

3. Alcohol Issues: Consumption of alcohol is not allowed at the fields; players caught violating this by-law are subject to fines from the City and/or the SSC.

4. Be respectful: To homeowners, police, by-law officers or anyone else who questions your behaviour. Any players and/or teams who are the subject of complaint lodged by someone who has approached them at the play field will be ejected from the CSSC leagues. If you are concerned about being approached, you may politely request a name and contact number so that the CSSC may follow up.

5. Private facilities (rugby clubs, etc): will have their own rules regarding conduct on the fields and in their clubhouses. Please ensure you are following the rules outlined by each facility. Should a private facility lodge a complaint, players cited in the concern will be ejected from the league.

If you or your team causes the CSSC to receive a complaint from a field, home owners living near the field or the City of Calgary, you will be fined $100.00.




UNDERAGE SPECTATOR POLICY


The SSC is an adult-only league; all players must be 18 years of age, or older, before they can participate in any SSC league or event. As such, our Liability Insurance covers adult participants, spectators and employees only.

Players are discouraged from bringing underage spectators to any SSC league or event that is held in a gymnasium. Gyms offer a confined area where balls and other objects are moving quickly and at times, unpredictably.

If a parent/supervisor/guardian chooses to bring an underage person to any SSC venue (particularly an indoor gym), they must be supervised at all times and cannot loiter in hallways, entrances, washrooms etc. of indoor facilities. Supervisors are responsible for ensuring minors do not disrupt the activity or other patrons of the facility.

All liabilities associated with any minor(s) present at a facility will be the sole responsibility of the partent/supervisor/guardian of the minor(s).

How do you cash in on the specials?

For all sponsor bars, you will need to show your player discount card. For the Winter 2009 season, teams will receive their sponsor bar cards at the Players Meetings. If you are not attending a Players Meeting, you will need to request the sponsor bar cards from the CSSC website. The cards MUST BE presented in order to receive the discounts.

4. LEAGUE CHAMPS

League Champs will be awarded Champ T-Shirts, handed out at their respective Season Ending Party. Teams must attend to receive their shirts.

5. PRIVACY POLICY

The CSSC respects and protects the privacy of our players. The CSSC will not sell, trade, or disclose to third parties any user details derived from the registration for or use of a CSSC service -- including user names and addresses -- without the consent of the user (except as required by law or in the case of imminent physical harm to the user or others).

When the CSSC uses agents, contractors or companies to perform services on its behalf, the CSSC will ensure that the company protects your information consistent with this Policy.

A user may choose not to receive direct marketing communications from the CSSC by contacting the CSSC office with this request. Upon such notification, the CSSC will remove the user from their distribution list.

6. TEAM NAME POLICY

Each team registered with the SSC is responsible for ensuring their team name and/or logo is neither inappropriate nor derogatory in a way that may offend spectators, opposing teams, GCs, ECs or facility staff etc. As a general rule of thumb, please do not include swear words, racial slurs or blatant sexual references in your team name.

If the SSC deems your team name, your team logo, or any nickname used as inappropriate, you may be required to change it at any point before or during the season. If you are unsure of the appropriateness of your team name please do not order jerseys without first speaking with an SSC Rep. In the event that your team name or logo results in a complaint, you or your team may be subject to the facility complaint fine. For the full facility complaint policy, click here.
